*Overview*
We are looking for a dynamic, independent, organized Administrator who is able to multitask while collaborating effectively and compassionately with people from a variety of backgrounds. The ideal Administrator will support our mission by working collaboratively with other church staff members and volunteers, providing administration, coordination and communication services that support the ministries, programs, and day-to-day operations of the church.
*Responsibilities*
The church Administrator has a wide range of responsibilities that vary from month to month due to seasonal and operational factors.
Administrative and organizational support for church ministries (40%)
* Provide general administrative support to the staff and ministry team, including the Minister(s) and ministry leads for Community Engagement, Communications, and Music.
* Provide general administrative support to the officers of the church?s Governing Board, including the Chair and Treasurer.
* Collaborate with the Minister(s) and the leads for Community Engagement and Communications to ensure that the required social media posts, website updates and email communications go out on a timely basis.
* Be a welcoming presence in the church?s onsite and online communities, acting as a resource to both established members and newcomers, helping them find information and facilitating their connection to the church, supporting and encouraging their participation in the ministries of Cedar Park United.
* Provide administration and support for the church?s IT tools and infrastructure, including offering guidance and training to staff on best practices for productivity tools.
Administration of space use and rentals (35%)
* Administer internal bookings and external rental activities for church buildings and outside spaces, including preparation of space use and rental agreements.
* Maintain the church?s calendar of events that includes both internal and external bookings.
* Actively seek out new opportunities to expand the use of rental space.
Financial and accounting support (15%)
* Provide internal financial reporting and bookkeeping on a monthly/quarterly basis.
* Support the Treasurer in the annual budgeting process and the annual external auditor review.
* Perform routine banking tasks (issuance of cheques/payments and making deposits).
* Manage donations and the church?s CRM database (Sumac).
* Support the Grants Team in the preparation of grant applications and administration of successful applications.
Coordination of property maintenance (10%)
* Provide administration of preventive and corrective maintenance activities, including coordination of external suppliers and contractors, for all aspects of church buildings and property.
*Skills and Experience*
* Excellent interpersonal and communication skills, supporting interaction and collaboration with church staff and ministry leaders, volunteers, space renters and other guests, congregants, and others in the church community.
* Excellent English writing and editing skills.
* _Competency in French (written and oral) is a definite asset._
* Strong organizational and time management skills; ability to prioritize workload in response to competing priorities.
* Demonstrated ability to be self-directed and work independently, as well as a team member.
* Demonstrated proficiency using digital office productivity tools and platforms (Microsoft Office, Google Workspace)
* _Competency in accounting and bookkeeping procedures and digital tools (e.g Sage, Quickbooks, Xero) is a definite asset. _
* Familiarity with negotiating and preparing space rental agreements.
* Knowledge of basic IT administration concepts and procedures.
* Knowledge of website platforms and maintenance (Squarespace).
* Knowledge of the use of social media platforms (Facebook, Instagram) in a professional context is an asset.
* Knowledge of the structures and procedures of the United Church of Canada is an asset.
