Here?s an updated *Terms of Reference (TOR)* for a *Part-Time Accountant* who will also handle tax filing for your grocery store: *Terms of Reference (TOR) for Part-Time Accountant & Tax Officer* *Position Title:* Part-Time Accountant & Tax Officer *Location*, Toronto *Reports to:* Store Manager/Owner *Employment Type:* Part-time *1. Background and Purpose* The Accountant is a critical role responsible for maintaining the store?s financial health, overseeing accounting tasks, preparing reports, and ensuring timely tax filings. This part-time position will manage the store's day-to-day financial transactions and support the management in making data-driven decisions by maintaining accurate financial records and ensuring compliance with tax regulations. *2. Key ResponsibilitiesFinancial Management:* * Record daily financial transactions (sales, expenses, etc.) and ensure that all records are accurate and up to date. * Oversee accounts payable and receivable, ensuring timely invoicing and payment collection. * Reconcile bank statements against store records to ensure consistency and resolve discrepancies. * Prepare periodic financial reports (monthly, quarterly, and annual) to help assess the store?s financial performance. * Manage cash flow to ensure sufficient liquidity for daily operations. *Bookkeeping:* * Maintain accurate financial records, including invoices, payroll records, and store expenses. * Track and manage inventory costs and any associated discrepancies. * Ensure the proper maintenance of the general ledger, ensuring all financial transactions are properly documented. *Tax Compliance & Filing:* * Calculate and manage the store?s tax liabilities, including HST and income taxes. * Prepare and file annual tax returns, ensuring timely submission to provincial and federal tax authorities. * Stay updated on relevant tax laws and regulations affecting small businesses and retail stores in Ontario. * Address tax audits and coordinate with the Canada Revenue Agency (CRA) as necessary. *Payroll Management:* * Process payroll for store employees, ensuring accuracy in payments and tax deductions. * Ensure compliance with payroll laws, and accurately file necessary payroll-related tax returns. *Budgeting and Forecasting:* * Assist the store owner in budgeting and financial planning by providing analysis and forecasts. * Identify areas for cost savings and increased financial efficiency. *3. Reporting* * Regularly update the Store Manager/Owner on financial matters. * Submit financial reports (profit and loss statements, balance sheets, cash flow statements) periodically as required. *4. Qualifications and Experience* * *Education:* Diploma or Bachelor?s degree in Accounting, Finance, or a related field. * *Experience:* Minimum of 2 years of accounting experience, ideally in retail or grocery. * *Skills:* * Proficiency in accounting software (e.g., QuickBooks, Xero). * Strong knowledge of Canadian tax laws and regulations, especially HST and income tax. * Excellent organizational skills and attention to detail. * Ability to work independently and manage time effectively. *5. Key Performance Indicators (KPIs)* * Timely and accurate preparation of financial statements and reports. * Effective and timely tax filing, avoiding penalties. * Accurate payroll management. * Ability to manage cash flow and advise on cost-saving measures. *6.
