*Position: Administrative Support*
*Regular Hours: Monday ? Thursday 8am-4pm | Friday, 8am-12noon*
*Criminal Reference Check Required | Non-Smoker Preferred | Previous experience in multi-residential rentals viewed as an asset. Training Provided.*
The position requires a reliable individual who is trustworthy, enthusiastic, strong organizational skills, displays effective written and oral communication skills, follows instruction, attention to detail and accuracy, ability to prioritize and work efficiently, meets deadlines, strong work ethic with a willingness to learn, initiates solutions, adaptive, can work effectively without supervision and possesses a pleasant personality. *Duties include:*
· Updating and managing databases and spreadsheets daily
· Manage tenant files and general filing
· Showing available rental units to prospective tenants, professional and courteous handing of all rental inquiries, feedback, complaints or concerns & screening prospective tenants to ensure they meet eligibility requirements.
· Collect & prepare supporting documents relating to rental applications, completing credit & criminal checks and present to Property Manager for review and approval.
· Preparing and issuing lease agreements, payment forms, sublets, assignments, end of tenancy forms, notices from the Landlord and tenant board (N1s, N4s, N5s)
· Manage and update entry intercom system as tenants move in and out
· Rent roll preparation and verification of rent and tenants
· Prepare and distribute tenant deposit refund requests to accounting
· Archive tenant files after termination of tenancy
· Prepare keys and move in package for new residents
· Collect and verify returned keys from residents moving out
· Reserve elevator for tenants moving in or out
· Inspect all vacant suites to ensure show-ready condition. Inspect suites when tenants take occupancy and vacate.
· Supervise and direct superintendents, assign and log work orders, schedule tasks.
· Schedule contractors to complete turnover work, repairs and maintenance in vacant units
· Maintain office and shop supply inventories, place supply order when needed
· Process office mail & document distribution to tenants
· Collect & manage monthly rental payments and follow up on past due accounts
· Collect and maintain data on vehicles in parking facilities, assigning parking stalls, decals, garage remotes
· Assign and manage visitor parking. Issue parking tickets to illegally parked vehicles
· Update registration forms monthly for parking, pets, locker, bicycles and tenant insurance
· Updating fire safety plan and tenants who require assistance
· Answering phones and managing email
· Providing support to Property Manager and Finance Team
· Intermediate-advanced MS Office Skills - Word, Excel, Outlook
· Use of YARDI for daily operations (work orders, tenant profiles). YARDI training will be provided by employer and is not a condition of employment.
· Understands and adheres to all criteria outlined in the Crime Free Multi-Housing Program (CFMHP).
