We are seeking a dedicated Customer Service Specialist to join our team and provide outstanding service to our customers, ensuring their needs are met throughout the construction process.</p><p><strong>Job Summary:</strong></p><p>As a Customer Service and Administrative Specialist, you will be the primary point of contact for clients, addressing inquiries, managing communications, and resolving issues related to construction projects. In addition, you will handle various administrative duties, including scheduling, document management, and office support. This dual-role position requires excellent communication, organizational skills, and a proactive approach to client satisfaction and office efficiency.</p><p><strong>Key Responsibilities:</strong></p><p><strong>Customer Service Responsibilities:</strong></p><ul><li><strong>Customer Support:</strong> Respond to customer inquiries via phone, email, and other channels, resolving complaints and providing relevant information.</li><li><strong>Client Communication:</strong> Act as a liaison between clients and internal teams, offering updates on project timelines, schedules, and progress.</li><li><strong>Issue Resolution:</strong> Work with project managers to troubleshoot and resolve any customer concerns or delays, ensuring client satisfaction.</li><li><strong>Post-Project Follow-Up:</strong> Conduct follow-up communications after project completion to gather feedback and assess client satisfaction.</li></ul><p><strong>Administrative Responsibilities:</strong></p><ul><li><strong>Document Management:</strong> Maintain and organize essential documents, such as contracts, permits, and project records, ensuring accessibility and accuracy.</li><li><strong>Scheduling & Coordination:</strong> Assist in scheduling meetings, project walkthroughs, and follow-ups with clients and internal teams; coordinate with vendors and subcontractors as necessary.</li><li><strong>Data Entry & Reporting:</strong> Accurately enter data into CRM and project management systems, and prepare reports on customer interactions and project statuses.</li><li><strong>Inventory & Supplies:</strong> Oversee office supplies, restocking as necessary to ensure smooth operations.</li><li><strong>Billing & Invoicing Support:</strong> Track and process invoices, purchase orders, and client billing inquiries in collaboration with the finance team.</li><li><strong>General Office Support:</strong> Handle reception duties, incoming calls, mail, and other day-to-day office tasks to maintain an efficient and organized environment.</li></ul><p><strong>Qualifications:</strong></p><ul><li><strong>Experience:</strong> Minimum of 2 years in a combined customer service and administrative role, preferably in the construction or related industry.</li><li><strong>Communication Skills:</strong> Strong verbal and written communication skills, with the ability to manage complex customer interactions.</li><li><strong>Organizational Skills:</strong> Highly organized and detail-oriented, with the ability to manage multiple tasks and meet deadlines.</li><li><strong>Problem-Solving Skills:</strong> Ability to troubleshoot and resolve issues effectively and professionally.</li><li><strong>Team Player:</strong> Collaborative, with a proactive approach to improving customer service processes and supporting team needs.</li><li><strong>Customer-Focused:</strong> Dedicated to delivering high-quality service and ensuring client satisfaction throughout the project lifecycle.</li></ul><p>If you are a customer-focused professional with strong administrative skills and a passion for supporting clients in a dynamic environme
