DSPM is seeking a qualified candidate to assist in the role of Assistant Property Manager in connection with a growing commercial condominium portfolio that consists of a mix of office, retail and industrial properties.
The *Assistant Property Manager* is a key member of the Management Operations Team, providing administrative, operational, and financial support to the Property Manager. Candidates for this role should possess the following attributes:

- Superior attention to detail and the ability to multitask.
- Flexibility to adapt to changing work conditions includ*i*ng service interruptions.
- Strong working knowledge of Microsoft 365 and Yardi Voyager.
- Reliable access to a fully insured vehicle.
- Ability to work independently, as well as within a team in a leadership role.
- Effective conflict resolution skills.
- A minimum of 3 years of senior property administrative experience.
- Possesses a General License from CMRAO or is in the process of obtaining.
*Primary Responsibilities:*
- Facilitate property/site inspections to identify issue(s)/deficiency(s), determine the implication(s) of the issue(s)/deficiency(s) and develop and communicate the appropriate recommendation to the property manager, client and/or board of directors.
- Assist the Property Manager with monthly property reporting i.e. operational activity and financial/budget-related matters.
- Assist the Property Manager with budget preparation and implementation.
- Be available outside of regular working hours to attend to site issues and emergencies when they occur.
- Directly oversee the tasks and duties of administrative staff and provide instructions, direction and performance reports to the Property Manager accordingly.
- Ensure that all day-to-day administrative elements are performed flawlessly without supervision.
- Review contracts and lease agreements and provide recommendations to the Property Manager.
- Oversee the scheduling of services and assist with contractor/service provider supervision and management.
- Perform other related ad hoc responsibilities as requested and required.
- Facilitate accurate and timely responses to all incoming communications and requests from tenants, users, contractors, etc. This involves an element of problem solving and critical thinking skills especially when the requirement to escalate a matter to the Manager is required.
- Establish and maintain a strong relationship with tenants, vendors and various contractors to assist in the day-to-day operations of the properties.
- Draft and finalize notices and general property-related communications.
- Oversee and maintain electronic and hard copy filing system.
- Respond to contractor queries and correspondence.
- Coordinate/oversee programs, services and events.
- Maintain list of utility accounts lists and coordinate tenant/landlord account takeovers, chargebacks, etc.
- Tracking tenant and supplier insurance and clearances including WSIB certificates.
