The District of Port Edward is seeking an organized and customer-focused individual to join our team as an Office Clerk I. This unionized position plays a vital role in providing professional administrative and clerical support, ensuring efficient daily operations and a welcoming front-ofoffice experience. Situated on the beautiful Pacific North Coast, our community of 500 people is located just 15 kilometers from the City of Prince Rupert.

Reports To: Deputy Corporate Officer (DCO)
Union Position: CUPE 105-02
Overview: The Office Clerk I serves as the primary point of contact for the public, handling customer inquiries, record-keeping, and basic financial processing tasks. This role is key in representing the District of Port Edward professionally and facilitating smooth interactions with visitors and residents.
Key Responsibilities:
? Front Desk Operations: Provide exceptional customer service, assist visitors, and direct inquiries regarding District services.
? General Administrative Support: Manage phone calls, respond to emails, and handle inquiries in a timely and professional manner.
? Document and Record Management: Organize and maintain department records, work orders, and reports in both physical and digital formats.
? Scheduling and Coordination: Assist with scheduling appointments, meetings, and District events, including booking facilities and arranging resources.
? Financial Processing: Support the finance department with clerical tasks, including processing invoices, purchase orders, and basic financial documents.
? Travel Arrangements: Coordinate travel and accommodations for District staff and Council members as needed.
? Office Supplies Management: Maintain office supplies inventory and ensure availability of essential resources for staff.
? Clerical Tasks: Prepare, edit, and format documents, reports, and presentations; distribute official communications and assist in organizing council and departmental materials.
? Social Media & Newsletter: Assist in posting on social media and developing the monthly newsletter. Qualifications:
? Education: High school diploma or equivalent; post-secondary training or certification in administration is an asset.
? Experience: Previous experience in an administrative or office setting is required, with a preference for experience in municipal or public sector environments.
? Skills: Strong organizational, communication, and computer skills, including proficiency in Microsoft Office, Canva, and DocuSign.
? Attributes: Reliable, detail-oriented, and customer-service-focused, with the ability to manage multiple tasks and prioritize effectively.
Compensation: The hourly rate for this unionized position is $30.53 in 2024, increasing to $31.14 effective January 1, 2025, as outlined in the collective agreement.
