*Job Summary*
We are seeking a detail-oriented and organized Office Assistant to join our small family medicine office team. The ideal candidate will provide essential support in a fast-paced office environment, ensuring smooth operations and excellent customer service. This role involves managing clerical tasks, assisting with data entry, and maintaining effective communication both internally and externally.
*Duties*
* Greeting patients and visitors in a friendly and respectful manner
* Addressing and following up on patient inquiries in person and via phone and email
* Registering patients
* Scheduling and confirming appointments for patients
* Taking automatic blood pressures, heights and weights and entering them into the electronic medical record
* Answering phones and managing voicemails, including maintaining a regularly updated practice voicemail message as directed by the Employer and email
* Taking messages and relaying pertinent information to the Employer
* Preparation of correspondence
* Preparing and sending documents to physicians, pharmacies and patients
* Sending and following up on referrals
* Following up on investigations
* Scanning documents into the electronic medical record
* Updating patient records and demographics
* Ordering and stocking equipment, vaccines, drug samples and stationary for the office
* Maintaining the Practice?s Property
* Assist with invoicing and collecting payments including non-OHIP covered services and/or block billing
* Opening and closing the clinic
* Contacting the electronic medical record provider, internet provider and equipment providers if issues relating to these systems arise
* Cleaning exam rooms as needed
* Maintaining Covid-19 Protocols
* Banking duties
* Other duties as they emerge
*Skills*
* Proficient in Google Suite applications (Docs, Sheets, etc.).
* Strong proofreading skills with attention to detail.
* Experience as a medical receptionist is a plus.
* Experience with an electronic medical record (specifically Accuro) a plus
* Strong phone etiquette and ability to handle phone systems effectively.
* Ability to work independently as well as collaboratively within a team.
