*The Position*
We are seeking a *full-time Executive Assistant* to support our Management Team in daily operations, office administration, data keeping, and scheduling and phone call support. This role offers an exciting opportunity to hone administrative, organizational, and communication skills while contributing to our company?s growth. The successful candidate will be comfortable managing multiple priorities, problem solving, and balancing diverse responsibilities with professionalism and care.
*Compensation:* Based on experience, education, and competencies. Growth opportunities are performance-based.
*Key Responsibilities*
*Management Team Support*
* Manage the Management Team calendar, including scheduling meetings, appointments, and events.
* Screen and prioritize emails, phone calls, and correspondence.
* Prepare and edit documents, reports, and presentations.
* Assist in preparing for panel discussions, summits, and public appearances.
* Coordinate travel, accommodations, and itineraries for team members and clients.
*Office Administration*
* Manage office supplies and coordinate stock-ups to ensure a well-equipped workspace.
* Organize and plan team events, such as quarterly celebrations and bonding activities.
* Draft and distribute the internal team newsletter to keep employees informed.
* Liaise with vendors for office maintenance and equipment needs.
* Track deadlines, monitor company goals, and support key projects to ensure alignment with Management Team priorities.
*Communication and Liaison*
* Act as a point of contact between the Management Team and internal teams, clients, and stakeholders.
* Draft internal and external communications on behalf of the Management Team.
*Beneficial Skills & Experience*
* *Administrative Expertise*
* Proven experience as an Executive Assistant or in a similar role.
* Exceptional organizational and time-management skills.
* *Communication Skills*
* Strong written and verbal communication skills.
* Confident in interacting with internal teams, high-net-worth clients, and stakeholders.
* *Technical Proficiency*
* Proficiency in Microsoft Office Suite, Trello, Outlook, and CRM tools.
* *Problem-Solving and Adaptability*
* Ability to remain flexible and efficient in a fast-paced environment.
* Ability to find solutions to problems, bottlenecks, or inefficient workflows.
* *Industry Knowledge (Preferred)*
* Familiarity with the mortgage lending or financial services industry.
* *Team and Culture Contributions*
* Experience organizing team-building events or morale initiatives.
* Strong interpersonal skills to foster a positive work environment.
