*Job Summary*
Court clerk provides administrative support to the Provincial Court as well as registry duties when required.
Responsibilities include performing pre-court, in-court, and post-court duties, interpreting documentation in court files, concluding files. Responsible for preparing and checking legal documents for accuracy and completeness; recording court proceedings; maintaining custody of exhibits and related documentation; interacting and liaising with the Judiciary, members of the legal profession, justice system partners and the public.

*ACCOUNTABILITIES*
*Performs pre-court services: *
a. Prepares courtroom, pulls, and checks files for completeness and accuracy, reviews file history to anticipate issues the history of the files to anticipate issues raised in court.
b. Prepares, tests, and ensures setup of courtroom technology (i.e. digital, video, teleconference, voice, and computer equipment)
c. Reports to the Judge to receive instructions and delivers court lists, pre-sentence reports, transcripts, trial records and other court documents.
d. Confirms and records attendance of all parties, confirms time estimates, prioritizes court lists, and adjusts when necessary.
e. Reviews legal documents and associated filings for conformity and compliance with procedures and rules of court
f. Reviews each exhibit for signing out exhibits and ensures all exhibits are accounted for.
*Provides in-court services: *
a. Operates courtroom equipment and digital technology and monitors court proceedings.
b. Calls the cases, reads the charge (multiple and complex files), takes pleas, re-elections, and administers oaths or affirmations.
c. Creates and endorses the official record of court proceedings.
d. Monitors and reviews legal documents and proceedings on a continual basis for compliance with procedures and rules of the court inputs and edits court data into information systems (i.e. Justin, CCD, DARS, etc.), using the appropriate codes to ensure accurate records of court proceedings and to generate court orders both in-court and out of court.
e. Marks, logs, secures, and assumes responsibility for all exhibits entered court proceedings (e.g., currency, narcotics, and hazardous materials)
f. Ensures exhibits are not tampered with/altered in order to uphold exhibit integrity.
g. Clerks jury selection, administers oaths and affirmations to the jurors, takes and records a verdict.
h. Answers procedural enquiries from the media, public, Judiciary, registry, sheriffs, and the bar and provides information on court cases.
i. Advises sheriffs of security concerns in the courthouse.
*Performs post-court services: *
a. Ensures exhibits are properly secured by checking-in exhibits ensuring all exhibits are accounted for and properly described.
b. Checks files for completeness and performs playbacks as needed to confirm accuracy of orders.
c. Signs applicable orders officially as Clerk of the Court, reads and explains conditions to offenders, cancel warrants and distribute court documents.
d. Advises the Trial Coordinator/Judicial Case Manager of the status of files.
e. Initiates the processing of orders including requesting transcripts, interpreters, and specialized reports.
f. Completes hearing day fee invoices.
*Performs other duties: *
a. Organizes courtroom equipment and furniture, and regularly pushes and pulls file carts to move heavy items.
b. Required to travel occasionally to other court locations.
c. Provide informal orientation or informal explanation to other workers.
d. Assist with other registry duties (counter services/data entry)
*JOB REQUIREMENTS:*
*Education/Experience:*
· High school graduation or equivalent (e.g., GED).
· Two years of clerical experience in a professional office setting or a combination of one year clerical and one year of education or training in a legal related field.
· Must have experience keyboarding a minimum of 40 WPM.
